Privacy Policy

What we collect, why, who we share it with, and how to control it — in plain language.

Last updated October 11, 2026

The short version: we collect what we need to run GivWord, we only send a note to someone after you confirm it, we don’t sell your data or use it for ads, and you can delete everything at any time.

This Privacy Policy explains how GivWord, Inc. (“GivWord,” “we,” “us”) collects, uses and shares information when you visit givword.com, join our waitlist, contact us, or use the GivWord mobile app (together, the “Service”).

1. Information we collect

Information you give us

Information collected automatically

Information from others

If someone else uses GivWord to send you a note, we receive your name and email address or phone number from them, along with the note they wrote.

2. How we use information

We do not use the content of your notes for advertising, and we do not sell it.

3. AI processing

GivWord uses AI services to transcribe voice drafts and organize them into structured notes. To do this, the audio or text of your draft is sent to the providers listed in Section 4. These providers process it to return a result to us. Under their commercial terms for this kind of service, they do not use it to train their models.

AI can make mistakes. Each extracted detail is labeled with a confidence level — high, estimated or unclear — and nothing is sent to anyone until you have reviewed the note and confirmed it.

4. How we share information

Service providers

We share information with companies that run parts of the Service for us. They may use it only to provide those services. Our current providers are:

People you choose to send notes to

When you confirm a note, we send it to the people you named by email and, if you added a number, by text message. You are responsible for having a lawful reason to share their contact details with us for this purpose.

Independent attorneys (planned)

We plan to offer a way to connect with independent attorneys. If and when that feature is available, we will share information with an attorney only if you ask us to. Attorneys are not employed by GivWord.

Legal reasons and business transfers

We may disclose information if the law requires it, to respond to valid legal process, or to protect the rights, property or safety of our users, the public or GivWord. If GivWord is involved in a merger, acquisition or sale of assets, information may transfer as part of that transaction, subject to this Policy.

No sale or sharing for advertising

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

5. Recording and dictation

GivWord is built around dictation after the fact: you describe your own understanding of a conversation once it is over. The app does not listen to or record the conversation itself.

If you choose to record a real conversation with another person by other means, you are responsible for following recording-consent laws where you and they are located. Some states require everyone’s consent. GivWord does not advise on whether a particular recording is lawful.

6. Delivery status

For notes you send, we show delivery events reported by our email and text providers, such as “delivered to mail server” or “delivered to carrier.” We do not track whether a note was opened or read, and we do not track link clicks in the notes we send.

7. How long we keep information

8. Your choices and rights

Choices

California residents

Under California law, you have the right to know what personal information we collect, use and disclose; to access it; to correct it; to delete it; and to opt out of its sale or sharing. We don’t sell or share personal information, so there is nothing to opt out of, and we treat Global Privacy Control signals as a valid opt-out request regardless. We will not discriminate against you for exercising these rights.

In the past 12 months, we have collected the following categories of personal information, for the purposes described in Section 2, from you, from people who send you notes, and from the providers described above:

Users outside the U.S.

If you are in the European Economic Area, the United Kingdom or Switzerland, you have the right to access, correct, delete, restrict or object to processing of your personal data, to data portability, and to withdraw consent at any time. We rely on performance of our contract with you to provide the Service, your consent for optional features, and our legitimate interests in keeping the Service secure and working well. You can also complain to your local data protection authority.

How to make a request

Email privacy@givword.com or use our contact form. We will verify your request, usually by confirming it from the email address on your account, and respond within the time required by law. You may use an authorized agent; we may ask them to show they are authorized to act for you.

9. Security

We use administrative, technical and physical safeguards designed to protect your information, including encryption in transit and at rest and access controls that limit who can see your notes. No system is perfectly secure, so we can’t guarantee absolute security.

10. International transfers

GivWord is based in the United States, and our providers may process information in the United States and other countries. Where required, we use appropriate safeguards, such as standard contractual clauses, for transfers from the EEA, UK or Switzerland.

11. Children

GivWord is for adults 18 and older. We don’t knowingly collect personal information from anyone under 18. If you believe a minor has given us information, contact privacy@givword.com and we will delete it.

12. Changes to this policy

We may update this policy from time to time. If we make material changes, we will tell you by email or in the app before they take effect. The date at the top shows when it was last updated.
